Job Description

- Must be a self-starter with the ability to manage multiple priorities/tasks, and possess strong organizational skills.
- Gathers and researches information to include in proposals, including resumes and project summaries.
- Coordinates proposal process, following standard procedures, including planning, review, and production of statements of qualifications and proposals.
- Identifies the proposal team and collaborates with Project Managers, engineers and other relevant consultants in the proposal preparation process.
- Engages senior technical and management staff to obtain necessary information and commitment for specific pursuits.
- Reviews, organizes, and edits written documentation to improve clarity.
- Verifies complex technical solutions, strategies and themes are easily understandable, readable and compelling.
- Provides final quality control check, including proofreading for grammar, proposal compliance and conformance to established strategies and plans.
- Elaborates a timetable of upcoming research and commercial opportunities, calls and RFPs at national (e.g. Portugal 2020, FCT) and international level (e.g. Horizon 2020, ESA, etc.) 
- Coordinates with technical staff to develop, research, track, and follow-up on leads.
- Has knowledge and experience with office procedures, systems, and protocols.
- Has strong and effective communication, writing, and computer skills.
- Updates leads, resumes, project descriptions, and text libraries in the company's database.
- Assists in the day to day hard and electronic file organization.
- Assists in the development of other marketing tools such as brochures, company website, etc.
- Establishes a set of document templates and texts which facilitate proposal elaboration.
- Assists in the deployment of proposal automation software.
- Is capable of independently managing a challenging workload when faced with unexpected changes in priorities and deadlines.

Job Qualifications:

- Bachelor's degree in engineering (additional degree in business field is preferred).
- 3+ years of experience in an administrative role within the engineering industry.
- Advanced user in Microsoft Office Suite (Word, Excel, PowerPoint, and Access) and design-related software (e.g. Adobe Photoshop or Illustrator). 
- Strong English written language skills. 
- Excellent attention to detail.
- Some experience with designing marketing material is preferred.
